Rotary Board Meeting Notes
1/18/21

Requests for Donations – none
Financial Report – Dan Sanft
  • Scholarships for upcoming year
    • The $18,000 in this years budget was for last year’s payout.  We need to figure out next years scholarship amount and budget for it. 
    • Last year we gave out 11 scholarships which was more due to donations from Lake Mills Market roundup.  They gave almost $8,000.  The foundation donated $750 and the club gave another $250 to make it $1000 from foundation. 
    • In past years, we have budgeted $8,000. 
    • Motion to set scholarships at $8,000 for the upcoming year.  2nd by Ken.  The scholarship committee can request more if they find a need for it.  This is for fiscal year June 2021 through June 2022
  • Bilaws update regarding treasurer duties and overall bilaw revamp
    • Mick saw other bilaws that should be updated.  Mick suggested forming a Bi-Law Review Committee to make updates and changes.  Ken and Mick both volunteered for the committee. 
    • One example is accounts payable were only to be done by check and signed off by two officers.  Another example is the budget is supposed to be approved by membership by July 1st
  • 2021-2022 Budget – Dan will start by creating from last year’s budget
    • Car Raffle – Does the car raffle committee and Lakeland want to do another car raffle a bit earlier in the year.
Marketing
  • Eli is putting together a clothing order
  • Eli is making an updated new member flier
Dean Sanders Memorial
  • Lori does not want the money donated to go towards scholarship.  She wants it to go to kids in our community that is not school related.  Mick asked the parks director for suggestions on what we could improve for $1500. 
 
 
President Elect Training
  • Brian has received a registration for March 11-13 and it will be virtual
 
Discussed Meals
  • BIA may be wanting us to use their services every week instead of twice per month.  The board discussed pros and cons.  We have a long standing relationship with Bon Ton.  They cater the beer/wine event as well.  Having multiple options gives us back up options when one caterer cant make it.  Having multiple options helps prevent menu fatigue.  On the other hand, BIA food is very good and it may be simpler now that they are at Pyramid.  It may also be an expectation that we use their in house services.
