Board Meeting Minutes - 11/25/2025

Lake Mills Rotary President Anita M. called the Board meeting to order at 7:00am. Members present: Anita M., Barb C., Dan S.  Amy L., Tom V. Brian B. Beth N. Zoom attendee Will G. 
 
Lake Mills Rotary received a donation request from Jefferson County Literacy Council. Their theme is “Celebrate Your Impact.” Rotary has donated a book in their honor when they were presenting to the club. Amy L. made a motion to donate $250 to the Jefferson Literacy Council. Second by Brian B. Motion carried.
  • Lake Mills Rotary receives many mailings from Haus of Peace asking for donations.
  • Lake Mills Rotary received a request from Megs asking for a donation for the E-Library hub project in the Philippines. They are looking for 10 new desktop computers and they need 6 more to fill the gap. Barb C. made a motion to donate $300 to purchase a computer. Second by Beth N. Motion carried.
Financial Report:
  • A check from Farmers & Merchants Bank is still needed for the teacher sponsorship. Dan S. will look into ACH deposit.
  • Concessions were up $400 from budget.
  • All sponsorships in for the Pyramid 5K. Anita M. will follow up with Dr. Stork about a presentation using a “big check.” Newsworthy event. Dan S. will cut a check for $6,628.81.
  • Expensed – nothing out of the ordinary.
  • Will transfer $5,000 from money market account. Receiving 4.5% on money market account.
Membership:
  • Twelve members owe dues from the 1st quarter. Three members owe 2 quarters.
  • Barb C. will send a statement today to those members that owe.
  • Board would prefer that statements are sent at the end of the month.
  • New members: Tim A. Dean S.  December 9 installation.
Room Options:
  • Beth N. and Anita M. spoke with Club 55 who is the administrator of the building and handling of the rental space. Current space has storage space, pictures can be hung up, flag, Rotary banner not needed to be taken down after each meeting.  Motion made by Amy L. to stay at current location (Lake Mills Station). Rental will be $1,300 per year (increase of $5 per week.) Contract will begin July 1, 2026. We will request use of community room from 11:30am-1:30pm as part of the contract on room rental.  Second by Brian B. Motion carried.
  • Current arrangement will be until June 30, 2026.
  • $5 per week increase will start July 1, 2026.
  • Looked at the Legion. Free but parking can be an issue. No screen, only tv’s.
  • RLAC has no A/C. Could be a possible night location.
Future Events:
  • Ugly Sweater/Invite a Guest is December 2.
  • Stone Soup: Beth N. will talk to Janine F. about logistics. Poster will be sent to printer. Help will be needed for distribution of posters. Beth N. will call Leader to check on printing job.
  • Bon Tons will cater Rotary Christmas Party December 16.
  • December 16 Evening Christmas Party along with the Jefferson Club will be at the Pyramid. Pizza will be served. Half paid by Jefferson Club, half paid by Lake Mills Club.
  • December 17 Blood Drive has first shift covered. Brian B. will look for volunteers.
  • January 21 evening meeting. Pursue business locations for event. Amy L will investigate possibilities.
  • January 22 sponsor thank you event at Lewis Station Winery.
  • Motion made by Amy. L. to reschedule/postpone January 21 evening event. Second by Tom V. Motion carried. Beth N. will check with Club 55 to have a day meeting on January 20, 2026.
Information:
  • Anita M. and Beth N. attended Vibrant Club meeting.
    • Paul Harris award recipients can donate club points. Paperwork involved and kept confidential. Aaron G. has been committee chair in the past. Will be discussed at January meeting.
    • Possibly have new members go on auto pay for dues/meals plus anyone else who would be interested.
    • New brand requirements: information brought forward at district level.
  • Bench to honor Ken S.
    • Beth N. spoke to Parks Department. Will be on city council agenda December 2. Need to give request for location of bench at Rotary Park.
  • Club 55 community dinner
    • Club 55 has requested a donation of $500 to sponsor the first community dinner at Lake Mills Station. Volunteers will be from Club 55 and local churches. Other organizations have donated in the past. Amy L. made a motion to not have Rotary sponsor community dinner for January 15. Brian B. seconded. Motion carried. Need more information about their plans for other organizations to sponsor 2026 community dinners. Will re-evaluate whether Rotary will sponsor a community dinner later in 2026.
  • Scott T. received an email about ice skating path on Rock Lake thru the Ice Ambassadors. Looking for Gas money, ATV, people to shovel and sweep. Anita M. will make an announcement at meeting.
Future:
  • Anita M. will check bylaws and Rotary International about “3 readings” for new members.
  • Next Board meeting will be January 6 at Farmers & Merchants Bank.
